The Lycée Français d’Irlande (LFI) is the French International School in Dublin. Under the French Ministry of Education the LFI has provided a unique French education for Irish, French and international pupils at our school in Dublin for nearly fifty years. The LFI is part of a global network of French schools abroad.

We operate on two sites in South Dublin, educating around 500 children in our infant and junior classes in Foxrock and our secondary classes in Clonkseagh.

The role

The Operations Manager joins the management team at LFI and has a dual reporting relationship to both the Principal and the Board of Management. The role oversees operations, HR, marketing, business management and facilities. It will be primarily based in Clonskeagh, with frequent travel to Foxrock.

Person Profile:

This role would suit a general manager or operations manager with experience across the areas of operations and business management, HR, marketing and facilities management, ideally within the education (or similar) sector. Excellent communication and stakeholder management skills and the ability to manage multiple projects at one time will be required. Spoken French would also be helpful, although it is not a necessity as work is conducted in English.

Terms of Reference:

1. Business Management and Administration

Provide support to the Principal of the school (Proviseur), Board of Management and Director of the primary school to ensure smooth administration of the school according to best practice.

Key tasks include:

  • Providing support to the Proviseur and the Director of the primary school to ensure smooth relations between LFI and our partners, St Kilian’s and Hollypark schools
  • Management of the operations budget, in cooperation with the accountant
  • Risk management of  the school (specifically the primary school)
  • Responsibility for adherence to legislation affecting the school and its pupils
  • Responsibility for IT infrastructure and taking the lead on GDPR compliance
  • Ensuring compliance with purchasing procedures, obtaining quotes and inviting tenders for contracts as required
  • Ensuring asset acquisition and disposal procedures are followed, acting as responsible person for assets in the primary school

2. HR

Manage HR function of the school, with responsibility for all locally contracted staff.

Key tasks include:

  • Updating and issuing contracts and contract amendments
  • Updating LFI HR policies, employment handbook and employee register
  • Setting up procedures and providing support for recruitment of new staff according to best practice
  • Ensuring Garda vetting procedures are followed for all recruited staff and any other individuals who give classes/ seminars within the school
  • Attending and following up ongoing HR commissions at the school
  • Maintaining up-to-date knowledge of Irish employment law, ensuring school compliance at all times
  • Managing staff performance management system for administration staff and ensuring follow-up
  • Managing the school’s extracurricular offering (after-school care and activities) at the primary school in cooperation with the Director of the primary school and the after-school manager
  • Providing staff members with information on HR issues such as maternity leave, sick leave, pension, retirement etc.
  • Being available to meet individual staff members when specific issues arise to provide HR support and for conflict resolution
  • Ensuring liaison between management and staff unions for HR issues
  • Ensuring staff HR files are up-to-date
  • Providing liaison between staff and the Board of Management; ensuring regular meetings with staff representatives prior to Board of Management meetings and debriefing staff following meetings

3. Liaison with Board of Management

Act as liaison between Board of Management of school, management and staff.

Key tasks include:

  • Participating as a key member of the strategy development team planning for the school’s future development with the Board of Management
  • Working closely with the sub committees of the Board on a variety of topics – this may necessitate working outside standard office hours for which a time-in-lieu arrangement exists
  • Ensuring regular updates to the Board of Management regarding the operations of the school
  • Organising, attending and providing minutes for the Board of Management meeting each month; following up on all actions agreed at these meetings
  • Organising Board of Management/staff events and follow-up of these events
  • Coordinating communication between the Board of Management and parents

4. Facilities Management

Take overall responsibility for facilities management at the primary school, supervising cleaning and maintenance staff and liaising with contractors.

Key tasks include:

  • Facilities management at LFI primary school including liaising with all suppliers, including building and maintenance suppliers, to ensure upkeep, updating and repair of the school according to requirements and ongoing projects
  • Ensuring compliance with health and safety regulations
  • Maintaining an up-to-date database of school contractors
  • Facilities management of secondary school in cooperation with St Kilian’s staff members
  • Management and liaison with cleaning contractor staff in Foxrock for cleaning and maintenance of school
  • Management of any other maintenance operatives at the school

 

5. Communications

Take overall responsibility for communications and marketing.

  • Development of LFI communications strategy including online communications with development of website and other social media as main communication channels for LFI between parents, potential parents and other stakeholders
  • Development of other off-line communication channels for LFI
  • Management of staff member responsible for on-line communications
  • Manage school open days

6. Other

  • Ad hoc duties as required by the Principal of the school and the Board of Management
