HR and General Administration Manager at Lycée Français International Samuel Beckett

The HR and General Administration Manager is working closely with the school principal and Board of Management for the management of Ireland’s only French school.

The Lycée Français International Samuel Beckett (LFI) is Ireland’s only French school, providing a French accredited education to around 500 Irish Students, French and international students aged 3 to 18 at our two campuses in South County Dublin. The LFI is part of a global network of French schools abroad, approved by the French Department of Education and attached to the Agency for French Teaching Abroad (AEFE) via a convention.  The HR and General Administration Manager will be a key member of the school’s management team, and will work across both school sites (primary and secondary schools)

Contract 

  • 37.5 hours per week (occasional evening or weekend work maybe required for meetings or events)
  • 7 weeks of annual leaves
  • Permanent contract
  • Start date = ideally  early May 2025
  • Sites = Clonskeagh & Foxrock
  • Reporting to = School Principal

Responsibilities:

  1. HR

Management of HR function at the school. Key tasks include:

  • Ensure that the school’s HR practices comply with Irish labour law and regulations, including GDPR.
  • Recruit  new staff according to best practices and ensuring Garda vetting procedures are followed for all recruited staff and any other relevant individuals;
  • Update and issue employment contracts and contract amendments;
  • Support payroll administration;
  • HR administration;
  • Prepare reports and HR metrics for school management and regulatory bodies;
  • Attend and follow up of ongoing HR Commissions at school;
  • Design, update, deploy and manage HR policies and tools (e.g. performance management, compensation and benefits, employment handbook). Ensure reliability and sustainability of HR solutions and be open to continuous improvement
  • Be the HR subject-matter expert for the organization and manage internal requests in this area (e.g., maternity or parental leave, sick leave, retirement)
  • Be available to meet with individual staff members when specific issues arise
  • Provide HR support  for conflict resolution;
  • Manage relations with employees representatives and unions;
  • Promote a positive and inclusive culture
  • Support management or drive necessary changes to address HR organiszations needs
  1. Health  Safety and Facilities Management

Management of health and safety program and compliance and overall responsibility for facilities management. Key tasks include:

  • Ensure compliance with health and safety regulations;
  • Develop and enforce health and safety policies and measures;
  • Conduct regular risk assessments and implement preventive measures
  • Liaise with all suppliers for school maintenance, repairs, renovations or other facilities-related projects
  • Supervise cleaning and maintenance staff and liaisewith suppliers.
  1. General Administration

Provide support to LFI Principal and Primary School Prinicipal to ensure smooth administration of the school according to best practices. Key tasks include:

  • Provide support to LFI Principal/ Primary School Headmaster for partnerships between LFI and St Kilians and Hollypark schools.
  • Support Accountants Department in some specific tasks (e.g., operations budget, payroll)
  • Advise on security risk management  (specifically primary school)
  • Manage  procurement activities and maintain an up-to-date database of school contractors;
  • Ensure assets acquisition and disposal procedures are followed
  • Support the Board of Management in its requests.

Experience and skills required:

  • Bachelor’s degree in HR, Business Administration or related field
  • 3 to 5 years in an HR managers role
  • Knowledge of occupational health & safety regulations
  • Excellent leadership, communication and interpersonal skills
  • Solution oriented, flexibility, reliability
  • Ability to structure and organise
  • Strong writing abilities
  • Ability to handle confidential information with discretion
  • Advanced skills in Microsoft office (Word, Excel, PowerPoint…)

Highly desirable:

  • Strong knowledge of Irish labour law
  • Knowledge or previous experience in the educational sector
  • Facility management and procurement experience is a plus
  • Good level of spoken French;
